The Charity Administrator will provide a professional and welcoming reception service while supporting the smooth running of the Charity through a wide range of administrative duties. The postholder will act as the first point of contact for visitors, service users, and colleagues, while ensuring efficient record-keeping, communication, and office management.
Roles and Responsibilities:
Reception Duties:
· Act as the first point of contact for all visitors, service users, and callers, ensuring a friendly and professional welcome.
· Answer, screen, and direct phone calls and emails, dealing with enquiries or transferring as required.
· Manage visitor sign-in, safeguarding checks, and health & safety procedures.
· Meet and greet visitors, ensuring reception and meeting areas are tidy and organised.
Administrative Duties:
· Organise, maintain, and update files (digital and paper-based).
· Create and update records for service users.
· Assist with writing letters, emails, and other correspondence.
· Filing, scanning, photocopying, and posting letters/parcels as needed.
· Prepare and distribute meeting papers, reports, and presentations.
· Minute-taking at meetings, recording actions, attendees, and outcomes.
· Arrange and coordinate meetings, including booking rooms, preparing packs, and setting up equipment, stationery, IT, and refreshments.
· Assist with the organisation of trips, events, and activities.
· Assist with social media, including capturing photos of events/activities and uploading approved content.
· Support with arranging staff training (online or in person).
· Assist with finance tasks such as processing invoices, expenses, and petty cash.
· Arrange travel and accommodation as required.
· Shop for refreshments or other necessary items to support day-to-day operations.
· Provide general administrative support as delegated by the Head of Operations.
